πŸ—‚οΈ Assets & Depreciation

Every asset (form.php) has general data (code, description, serial number, type, category, location, responsible party, supplier) and financial data used to calculate depreciation: acquisition cost, date, residual value, useful life in years, and the depreciation method.

From any asset's detail panel, the Depreciation tab lets you "Calculate & Log" for a period (month) and notes β€” the system computes the amount using the chosen method, updates accumulated depreciation and net book value, and saves the run to history. The accumulated-depreciation field should only be hand-entered for the opening balance; after the first run, let the system keep adding to it.

⚠️ Without a Useful Life greater than zero, an asset's depreciation can't be run β€” the system rejects the calculation.

πŸ”§ Work Orders

A work order (WO) documents a task on an asset β€” or a general task with no specific asset. They get an auto-generated code (WO-0001, WO-0002…) and move through this cycle:

Open

Starting status. Set the type (corrective, preventive, inspection), priority (low/medium/high/critical), assignee, and due date.

In Progress / On Hold

Worked on or paused. You can log parts consumed at any time from the detail panel.

Completed / Cancelled

Marking it completed totals the cost (labour + parts) and awards a reputation point (Rewards) to whoever closed it.

Parts on the order: adding a part from the detail panel (part, quantity, unit cost) automatically deducts that quantity from Parts stock and logs an "out" movement tied to this WO β€” there's no separate manual step to adjust inventory.

πŸ’‘ If you assign the order to someone (at creation or by changing "Assigned To"), that person gets an automatic notification in Team. Completing it notifies the whole entity team.

πŸ“… Preventive Maintenance

pm_schedule.php keeps recurring calendars (daily, weekly, monthly, quarterly, yearly, or "every X hours") per asset. Each schedule stores its last-done date and its next-due date.

Create the schedule

Title, asset, assignee, frequency, and estimated hours. If you enter "Last Done" without a "Next Due" date, the system calculates it on its own by adding the frequency.

The system warns you

A banner at the top of the page summarizes how many tasks are due within 7 days, and how many are already overdue (in red).

Mark as done

The "βœ“ Done" button opens a panel to log the actual date, who did it, and notes. On confirm, the system automatically recalculates the next-due date from today's date + the frequency β€” no need to type it in by hand.

βš™οΈ Parts & Inventory

Part catalog with code, unit, current stock, reorder point, unit cost, storage location, and supplier. If a part's stock falls to or below its reorder point, a red warning shows in the table plus a summary banner up top.

Each part's Stock button opens an adjustment panel with three movement types β€” In (purchase/return), Out (manual deduction), or Adjustment (count correction) β€” and keeps the full history with quantity before/after, reference (PO/WO number), and notes. Movements auto-generated when a part is used on a work order show up in this same history.

🏷️ Types & Locations

admin.php (admins only) maintains the two lookup catalogs that feed the dropdowns everywhere else in the module: Asset Types (name + description) and Locations (name). They're simple create/edit/delete lists β€” no further configuration.

Can I have a work order with no asset? Yes β€” the Asset field is optional, useful for general tasks that don't map to a specific piece of equipment.
Who finds out when something happens? Assets is wired into Team: assigning an order, completing it, or a part hitting its reorder point all fire automatic notifications β€” check them from the Team module.
⚠️ Deleting a preventive-maintenance schedule doesn't physically remove it β€” it only deactivates it, so its "done" history is preserved.
