Events lets you run the full logistics of a convention, congress or expo: create the event, define where it happens (venue), build the agenda with workshops and speakers, and sell your own tickets and packages at whatever price you decide. Attendees register using their existing platform profile -- no re-typing name, email or ID.

πŸ†• Creating an event and paying the fee

In event_create.php (or the New Event button) enter a name, description, venue, dates and optional max attendees. The event saves as a draft -- edit it as many times as you want at no cost. To publish it and start accepting registrations, first pay the $5,000.00 MXN + tax listing fee via PayPal; it's a one-time fee per event, covering hosting and organization tools. If you need on-site tech support from our own team, add it before paying: $2,500 MXN/day + tax within Veracruz - Boca del RΓ­o, $3,500 MXN/day + tax outside that area.

🏒 Venues, workshops and packages

From venues.php add your venues (name, address, city, capacity) to reuse on any future event. From workshops.php build the event's agenda: title, venue, schedule, capacity, and, once someone has registered as a Speaker, assign them to the session. From packages.php define your tickets and add-ons (general admission, VIP, lodging, meals, transportation...) with their price, quantity cap, and what each one includes -- that revenue is entirely yours, the platform never touches it.

Once the fee is paid, in mis_eventos.php use the Publish icon and then Open registration so the event shows up in the Directory and attendees can sign up. When the registration window ends, use Close registration, and once the event is over, Mark completed.

🎟️ How an attendee registers

Any registered platform user browses published events in directorio.php, checks the detail in event_view.php (agenda and included packages), and registers in event_register.php. There they pick a registration type (Attendee, VIP, Speaker, Exhibitor, etc.) and optionally add the organizer's packages. It's one combined PayPal checkout: the $50.00 MXN platform fee plus the total of any selected packages.

πŸ’‘ If the registration type is Speaker or Exhibitor, the form shows extra fields (bio, specialty, stand size, requirements, etc.) the organizer needs to prepare.

Attendees can check the status of all their registrations in mis_registros.php, including any payment left pending.

βœ… Check-in on event day

From mis_eventos.php, the QR-code icon opens checkin.php: search an attendee by name, email or folio (REG...) and mark them checked in with one click. Only attendees who already completed payment can be checked in.

πŸ—ΊοΈ Checkpoints and QR scanning

checkin.php is meant for a simple one-door event with manual search. If your event has several points to control -- the main entrance, each workshop's door, a showroom, boarding a bus -- use Checkpoints: in mis_eventos.php it's the map icon πŸ—ΊοΈ (tooltip "Checkpoints and Scanning"), next to the Attendees and Exhibitors icons.

There you define each checkpoint with a free-text name (e.g. "Main Entrance", "Workshop B", "Showroom", "Bus 1") and a type -- Entrance/Exit, Workshop, Bus, General access, or Other; the type only changes which icon is shown, any checkpoint (including a showroom) works the same regardless of the type picked. Every checkpoint has its own QR-code button that opens scan.php: it turns on the phone or tablet camera and reads the same QR code already printed on the attendee's digital badge (badge.php) -- no new codes are generated. It also accepts a USB barcode-scanner wedge, or just typing the folio and pressing Enter, for when there's no camera available.

πŸ’‘ Every scan logs In or Out (you pick the button before scanning) along with the date, time and checkpoint. Each attendee's most recent scan, at any checkpoint, is what shows as their last known location in the Checkpoints list. A "Bus" checkpoint also gets its own boarding-manifest icon (bus_manifest.php) to reconcile who actually got on.

πŸ‘‘ Converting attendees into members

If you flagged your event as a club/association organizer and it's already completed, mis_eventos.php shows a crown icon: Convert attendees into The Club! members. One click and every paid attendee is added as a member (basic tier) to your The Club! module, ready for ongoing follow-up -- access control, membership payments, messages and promos. Anyone who's already a member is skipped automatically, never duplicated.

πŸ”§ Troubleshooting

My event isn't showing up in the Directory -- check that you've paid the listing fee and the status is "Published" or "Registration Open" in My Events.
I can't delete my event -- an event whose fee is already paid can't be deleted, only cancelled (change its status instead).
I paid for my registration but it still shows pending -- PayPal confirmation can take a few seconds. If it's still pending after a minute in My Registrations, contact us with your PayPal email.
I don't see the button to convert attendees into members -- it only appears if you flagged the event as club/association when creating it and already marked it completed.
